The Contractor Schedule interface displays the work assigned by the General Contractor (GC) to a subcontractor as top-level scheduled tasks—representing deliverables or work packages. Subcontractors can expand these tasks into subtasks and activities at multiple hierarchy levels to create a detailed contractor schedule.
What the Subcontractor’s Project Manager Can Do:
- Plan and Publish Tasks
- Break down assigned tasks into subtasks and last-level activities.
- Set timelines, dependencies, and constraints for these tasks, ensuring deadlines remain within the GC’s assigned parent task schedule.
- Publish the updated contractor schedule for team visibility.
- Link Tasks to Cost Items
- Map each subtask to its corresponding estimate line item for accurate cost tracking.
- Enable automatic generation of Schedule of Values (SOVs) from linked data.
- Prepare Look-Ahead Schedules
- Create periodic look-ahead plans to anticipate upcoming work.
- Push these plans to the field so foremen can plan and execute tasks efficiently.
- Track Progress
- Receive progress updates directly from foremen or update task progress manually.
- Share aggregated completion percentages of parent-level tasks with the GC.
- Log Costs
- Record expenses under various cost categories for each task to maintain accurate and ongoing cost visibility.
- Update the Schedule
- Continuously review and adjust the schedule based on progress, changes, or field conditions.
Access the schedule
- Ensure that you are in the project schedule. If not:
- Click the app launcher icon
in the top-right and select 'Schedule'
- Click 'Planner' on the top, then select 'Grid' on the left to open the schedule of the project
- Click the app launcher icon
The schedule shows the deliverables and work packages assigned to you by the GC with their details in a customizable table. Click here for more details on the columns.
You can add new tasks and break down the assigned tasks as subtasks in a hierarchical structure in many ways:
- Click 'Add New Row' at the bottom to add a top-level or root-level task
- Right-click on an item and choose 'Add' > 'Add Subtask' to add a new sub-task item, for example, the deliverables, activities, etc.
- Right-click on a line item and choose 'Insert Above' to add a new row at the same level of hierarchy
- Select the item(s) and paste on the new rows using the options on the top. You can also use keyboard shortcuts to select, copy, and paste items.
- Repeat the process to add task items of successive levels.
- Team members with required permissions can assign estimate amounts to each lowest-level item, for example, the leaf-level items in the WBS tree, rom the relevant line-item in the project estimate.
Once a task item is assigned funds it inherits the task code and the required effort hours from the estimate line-item. See Allocate Funds from Estimate to Scheduled Tasks to learn more.
- The duration, manhours, and start/end dates are auto-calculated for the parent-level tasks from their children.
- Subtasks created by you should also be self-assigned and published to enable pushing them to the foremen.
Search and filter options:
- Use the 'Search' box located at the top left to find any project using any value from the table as search criteria
- Right-click the column header and customize the display and order of the columns as you wish
- The options at the top right allow you to filter the entries, and manage personalized and customized views of the table. Use the links below to learn more about these:
View Groups and Subtotals
- You can get totals and subtotals of numerical data for any selected set of records by grouping and applying nested grouping. Use the
icon at the top right to organize the data by column headers.

Download as Excel Sheet
- Click the
button at the top right to save a local copy of the list in Excel format for sharing and record-keeping. See Download List Views and Logs in Excel Format for more details.
