View and Manage Project Document PDF Templates

The 'PDF Configuration' screen allows you to manage templates for project documents such as RFIs, Pay Applications, Invoices, and more. These templates help you standardize and customize document design to reflect your organization’s branding.

Templates are managed at the portfolio level, ensuring consistency across all projects.

Only one active template per document type is applied automatically during document generation.

Linarc includes a library of prebuilt system templates with different designs, with one default template set as active for each document type.

You can also create personalized templates by cloning a system template or building one from scratch, then setting it active for use.

The Templates Screen

  • Ensure you are in the 'PDF configuration'screen. If not,
    • Click the 'App Launcher' buttonin the top-right corner and select "Portfolio" from the dropdown.
    • Click 'Config' at the top
    • Select 'Document Templates'

The PDF configuration screen opens with the list of available templates for different document types:

The templates provided by Linarc are marked as 'System' in the 'Created By' column.

Search, filter and sort options:

  • Use the 'Search' box located at the top left to find any template using any value from the table as search criteria
  • Hover over a column header and use the sort icon to sort the table in ascending or descending order of the entries in that column
  • Right-click the column header and customize the display and order of the columns as you wish 
  • The options at the top right allow you to filter the entries, create nested groups of entries, and manage personalized and customized views of the table. Use the links below to learn more about these:

  • Template Name – The label assigned to the PDF template.
  • Module – The document type or module the template applies to (e.g., RFI, Submittal, Change Order, Invoice, Payment Application).
  • Created By – Identifies who created the template. Templates preconfigured by Linarc are marked as 'System' and cannot be edited. User-created templates can be edited and set active directly at any time. 
  • Active Status– Indicates whether the template is currently active for its document type. 
    • Only one template can be active per document type at a time. If a user-generated template is set as active, it takes precedence over the system template.
    • If no user template is active, the system template remains active by default for all generated PDFs of that document type. 
    • To use a system template that is not active currently, clone it, make any changes if required, and then save and activate it as a new user-generated template.
  • Created On – The date the template was originally created.
  • Updated On – The date the template was last modified.
  • Actions – Management options available for the template, such as Edit or Delete.

View a Template

  • Click the name of the template to open it.
    • System templates - You can view the template, clone it and save it as a user-generated template
    • User-generated templates - You can view the template, update it and activate or deactivate it
    • Editing a template is similar to adding a new template. See Create New PDF Template for guidance on adding new sections and inserting content in them.

Edit a Template

Reminder - Only user generated templates can be edited.
  • Click the icon to edit the template name, the sections in the template itself and save, activate/deactivate it.

Remove a Template

Note - Only user generated templates can be deleted.
  • Click theicon to delete it permanently
