PDF Templates - Overview

Linarc’s PDF Templates feature empowers companies to create and manage professional, branded templates for all key project documents, including RFIs, Pay Applications, Invoices, and more. By standardizing document formats across the entire project lifecycle, you ensure every file reflects your organization’s identity with accuracy and consistency.

  • Portfolio-wide standardization – Apply uniform templates across all managed projects for a consistent brand presence.
  • Single active template per type – Eliminate confusion by keeping only one active template for each document type at any given time.

Linarc provides a library of prebuilt system templates for each document type, with one system template set as active by default. In addition, you can design your own custom templates—either from scratch or by cloning and modifying an existing system template—giving you full flexibility to adapt documents to your requirements.

  • Once a custom template is activated, it automatically overrides the system default for all on-demand and system-generated documents.
  • If no custom template is active, the system template remains in use by default.

Templates can be personalized with headers, footers, margins, logos, TOC, cover page, and body section. Content to be included in these sections can be added as dynamic variables that auto-populate project data at the time of document generation, saving time while ensuring accuracy. 

By centralizing template management, Linarc ensures every project document is professional, consistent, and client-ready — whether generated from the field, office, or system archives.

Company Templates in Use

  • Manually generated PDFs (on-demand, during or after a document’s lifecycle) always use the template of the company the user belongs to.
  • System-generated PDFs (auto-created for archival at workflow closure) use the template of the company responsible for closing the document.
Note:
Linarc currently supports PDF templates for RFIs, payment applications, and invoices. Templates for additional document types will be introduced in future updates.
