Linarc's Acumatica integration lets you manage project operations and financials in Linarc while your Acumatica ERP records stay in step.
The integration connects to Acumatica through a secure authorization. You register Linarc as a connected application in your Acumatica tenant, and authorize the connection once. You need not share your Acumatica password with Linarc.
- Synchronize Core Directories: Keep employee, vendor, cost code, and project records aligned between Linarc and Acumatica.
- Post Financial Records to Acumatica: Send project costs, contractor budgets, recurring transactions, and payroll from Linarc to the matching Acumatica screens.
- Choose Your Source of Truth: Select Linarc or Acumatica as the source for employees. Linarc is the source for all other records.
- Update Employees Automatically: Set up an employee webhook so that changes made in Acumatica flow back into Linarc.
Acumatica Setup Prerequisites
- Acumatica Administrator Access: Access to the Acumatica tenant that you want to connect, with permission to register connected applications.
- Public Instance URL: Your Acumatica instance must be reachable from the internet, and you need its instance URL to connect. The next section explains how to find it.
- Cost Code Setup: Enable the Cost Codes feature in Acumatica and widen the cost code segment before your first sync. See Configure Accounts and Map Data.
Acumatica Instance URL
The instance URL is the web address that Linarc uses to reach your Acumatica site. To get the right address, open Acumatica in your own browser, on your own computer and not on the Acumatica server. Copy the address up to the site, or up to the folder if your address includes one. Then trim it:
- Remove everything from '/Main', '/Frames', or '?' onwards.
- Remove '/t/<tenant>' if it appears.
- Do not use 'localhost' or '127.0.0.1'. These addresses work only on the Acumatica server, so Linarc cannot reach them.
The instance URL takes one of these forms:
| Hosting Option | Example Instance URL |
|---|---|
| Acumatica hosts it for you | https://yourcompany.acumatica.com |
| Your own server, with a web address | https://erp.yourcompany.com |
| Your own server, in a folder | https://erp.yourcompany.com/AcumaticaERP |
| Your own server, reached by IP address (must be a public IP address) | http://<server-ip>/AcumaticaERP |
Connect Acumatica to Linarc
The connection has three stages:
- Register: In Acumatica, register Linarc as a connected application. Acumatica generates a Client ID and a Client Secret. The Setup Guide on the Acumatica page in the Admin Portal lists these steps and shows the Redirect URI that you need. See Register Linarc in Acumatica.
- Connect: In the Linarc Admin Portal, under Integrations > ERP > Acumatica, enter your instance URL, Client ID, and Client Secret, and then sign in to Acumatica to authorize Linarc. See Connect Linarc to Acumatica.
- Configure: Set up your accounts and map your data. See Configure Accounts and Map Data.
Records Mapping
For each record type, you choose the source of truth in Linarc. Records sync from the source to the other system. The table shows the sources available and what each record type does in Acumatica.
| Record Type | Source of Truth | What It Does in Acumatica |
|---|---|---|
| Employees | Linarc or Acumatica | Syncs employee records. If Acumatica is the source, set up the employee webhook so that changes flow back to Linarc. |
| Vendors | Linarc | Creates vendors. Acumatica requires a Vendor Class for every vendor. |
| Cost Codes | Linarc | Creates cost codes, which appear as Division-Activity codes. |
| Projects | Linarc | Creates projects. |
| Costs | Linarc | Posts project transactions and cost budget lines. |
| Contractor Budgets | Linarc | Sends budget line items to the project budget and the revenue budget. |
| Recurring Transactions | Linarc | Sends recurring cost entries. |
| Payroll | Linarc | Posts payroll as General Ledger journal batches. |
Before records sync, you configure four account settings in Linarc: the Payroll Expense Account, the Payroll Liability Account, the Sub Account, and the Default Country. After a sync, you can check where each record type lands in Acumatica. See Configure Accounts and Map Data.
Note: If your selected Acumatica as the designated Source of Truth, employees imported will initially arrive in Linarc in a "Draft" state. The administrator must send account invitations from the Linarc company admin console, in the Employees> Add screen for the employees to join Linarc.
