Add Toolbox Talk Event

Authorized team members, such as safety managers, can schedule and conduct safety meetings across all their projects using topics from the centralized Toolbox Talks Library. This promotes consistent safety communication across the portfolio and streamlines the documentation of training sessions.  

  • Quickly schedule safety meetings covering selected topics from a standardized library.

  • Assign a designated conductor to lead the meetings and collect attendee details, including signature acknowledgements for recordkeeping and compliance. 

  • Update event details like date, time, and host before the event when required.
  • Delete the event if it becomes unnecessary or needs to be rescheduled.
  • Attach or replace topic documents and supporting materials to keep the event content relevant.

Add toolbox talk event

  • Ensure that you are in the portfolio console.
  • To return to the portfolio console from any other part of the platform
    • Click the App Launcher buttonin the top-right corner and select "Portfolio" from the dropdown.
  • Click 'Safety' on top and  'Toolbox Talk' on the left.

The Toolbox Talks Library opens:

The table shows the list of all available topics under various titles.

  • Browse the library to find your desired toolbox talk topic.
    • Use the search box at the top to find the topic of your interest
Tip:
  • If the topic isn’t available, you can create a custom toolbox talk and schedule an event instantly. See Add Custom Toolbox Talk Topic for more details.
  • You can also edit toolbox talk topics and titles, as well as add attachments, before scheduling an event. Use the icons in the 'Action' column of the library to edit the topics.
  • Click the  button to add a toolbox talk event on the respective topic.

  • Event Title - Auto-populates from the title of the chosen topic. Edit it if necessary. You can add a project-specific title for the toolbox talk session.
  • Project - Select the project from the drop-down menu
  • Scheduled -On - The date of the event. Use the calendar to select the desired date.
  • Event Start Time and End Time - Click the clock icon to enter the commencement and completion times of the meeting.
  • Click the 'Confirm' button

The event is added to the project. The next step is to assign a conductor for the meeting. See below for guidance.

View all toolbox talk events across your project portfolio

  • Ensure that you are in the portfolio console.
  • To return to the portfolio console from any other part of the platform
    • Click the App Launcher buttonin the top-right corner and select "Portfolio" from the dropdown.
  • Click 'Safety' on top and  'Toolbox Events' on the left.

  • Project - The name of the construction project the toolbox talk is scheduled for. 
  • Event Title - The high-level summary or the category of the toolbox talk session. 
  • Event date - The scheduled date for the toolbox talk. 
  • Toolbox Topic - The focus area or the specific safety and operational topic covered in the session 
  • Created on - The date when the event was created in the system 
  • Host - The person responsible for conducting the toolbox talk. Select the person from the options. 
  • Created by - The member who created the toolbox talk event
  • Event start time - The exact time the session is planned to begin 
  • Event end time - The exact time the session is expected to conclude 
  • Links – Direct URL leading to the original OSHA document or any supporting materials attached to the talk.
  • Status - The current state of the event, such as Open, Closed, or Cancelled. 
  • Action- You can perform the following actions by clicking the respective icons:
    • pencil Edit the toolbox talk event
    • Save Save your edits on the toolbox talk event
    • 'Delete'Delete the event

Add a host to a toolbox talk event

  • Ensure that you are in the Toolbox Event screen in the portfolio console.

  • Find the desired toolbox event and click the pencil icon in the action column to edit the toolbox talk event.
  • Click the 'Host' cell in the row of the desired event and choose the conductor from the list of available project members.
  • Click the Save icon to save your edits
