Add Custom Toolbox Talk Topic

Linarc allows project managers to create and manage company‑specific safety topics in addition to those available in the list that ships with Linarc. This helps organizations deliver more targeted safety training while keeping their internal content organized and accessible.

  • Capture unique jobsite risks, internal procedures, or client-specific safety requirements that are project-specific.

  • Add detailed descriptions and upload supporting materials like PDFs, images, or company policies to ensure field teams have complete context.

  • Make custom topics readily available for scheduling in safety meetings across all active projects.

  • Quickly add multiple custom topics in bulk using a structured file upload, ideal for setting up new projects or migrating your organization’s existing safety topics into the system. 

Add a custom toolbox talk topic

  • Ensure that you are in the portfolio console.
  • To return to the portfolio console from any other part of the platform:
    • Click the App Launcher buttonin the top-right corner and select "Portfolio" from the dropdown.
  • Click 'Safety' on top and  'Toolbox Talk' on the left.

The Toolbox Talks Library opens:

  • Click the '+Add Toolbox Talk' Button at the bottom of the page

A new row is added to the top of the table. 

  • Click inside the cell and enter the following details:
    • Title – A high-level summary or category representing the context of the Toolbox Talk.
    • Topic – The specific subject or focus of the Toolbox Talk.
    • Created On – The date on which the topic was added to the library (Auto-populated).
    • Created By – The user who added the topic to the library (Auto-populated). 
    • Links – Direct URL to the primary content or any related resources relevant to the topic. Paste the link to the supporting material like the PDF document or the HTML page.
    • Attachments - Allows you to add supporting materials such as images or PDFs to enhance the topic content.
  • Click the Save icon to save the topic.
  • Click the 'Paper clip icon under the attachment column to add any related images or PDF files.

You can directly create an event for this topic 

Tip:  The'Add Event' button in the last column allows you to schedule a Toolbox Talk event for the selected topic within a specific project. For detailed instructions, refer to Add Toolbox Talk Event.

Add multiple custom toolbox talk topics

  • Ensure that you are in the toolbox talks library screen. If not,
    • Click the App Launcher buttonin the top-right corner and select "Portfolio" from the dropdown.
    • Click 'Safety' on top and  'Toolbox Talk' on the left.

You can download the template for the Excel file format from the console, fill in the line items, and upload it as your company toolbox topic list

To download the file format

  • Click the Upload button on the top right

  • Click 'Download' at the bottom right to obtain a blank Excel file containing the required field headers. 
  • Create your topic list in the Excel file by entering the values for each line item.

Requirements of the Excel file:

  • The Excel file should contain a list of topics and their related links
  • Each line should contain one entry.
  • Enter the values for the topics under the following column headers.
    • Title – The formal name of the Toolbox Talk as it will event schedules. 
    • Topic – The focus area of the event
    • Link – Direct web addresses to any supporting material related to the topic. Start entering the URL with www. and the system will automatically convert it into a clickable hyperlink
  • Save the Excel file with an appropriate name.

To upload the filled-in Excel File

  • Ensure you are in the Toolbox talks library, if not
  • Open the Project portfolio, click 'Safety' on top, and 'Toolbox Talks' on the left
  • Click the 'Upload' button on the top right
  • Click inside 'Browse' and navigate to the file you want to upload. 
    • Alternatively, drag and drop the file into the box

Your entries are validated and added to the draft list if there are no errors in them.

  • Click the 'Save' button.

Once saved, the items are added to your company toolbox talks library.
