Punch List - Overview

Stakeholders typically the general contractor perform site inspections and walk-throughs at various points during the project's life cycle, mainly before important milestones and project completion. These events aim to check whether the work performed so far complies with the designs, specifications, and norms. The deviations, defects, and minor unfinished work, like broken door hinges, leaking plumb lines, loose carpentry joints, etc., must be resolved for the milestone to be marked complete.

The project managers or the site-in-charge people, like the site superintendents and the foremen of the GC company, create a punch list during each inspection event from the field using their mobile app. Each item is described with the location shown on a relevant plan sheet, image/video attachments depicting the defect, etc. Each defect is also tagged with the contractor responsible for the work in which the defect is identified.

The project managers can also create the punchlist from the office, for the items that they have noted down from the field, using the web console.  

The contractors are notified of the punch list items assigned to them:

  • The field staff, like the foreman, receives the items on their mobile app, enabling them to pull the items as tasks and execute them.
  • The project managers receive the items on their web console and can dispute them for various reasons, such as not falling within their scope of work or safety concerns.      

Once the work is completed, the contractor notifies the creator for review and approval. The GC closes the approved items. Rejected items are again assigned to the same contractor for re-work. 

Should the PLI affect the overall schedule or the budget, the contractor can escalate the issue into a change order. Once the change order is processed and approved by the authoritative party, typically the general contractor or owner, the contractor can add that change order to their schedule and execute the item.
