Project Drive

The 'Project Drive' in the file repository serves as a collaborative workspace, enabling construction team members from all participating companies to store and share a wide variety of project-related files.

  • The project drive can be customized with a predefined folder tree structure by importing templates tailored to the project's type, the company’s requirements, or other specific needs.
  • In addition to the imported structure, users can create ad-hoc folders and subfolders as needed to accommodate project-specific requirements.
  • Access permissions can be configured for folders and subfolders, allowing only selected project team members from specific organizations to view or retrieve their contents.
  • Users can also add comments to files within the drive, providing additional context or notes for better collaboration and file management.

The 'Project Drive' screen

  • Ensure that you are in the files repository screen of the project management console. If not,
    • Open the project management console
    • Click the app launcher and select 'Project'
    • Select 'Drive' from the options on the left
  • Select 'Project' on the left

The table shows the hierarchical list of folders in your company drive. The 'Default View' shows all columns in the table. You can remove the columns you do not want to see from the table and save it as your custom view. See Customize Columns in List Views and Manage Custom List Views to learn more. 

  • File Name - The label of the folder, subfolder or the file
  • Created Date - The date on which the folder or file was added to the drive
  • Last Updated - The date on which the recent change was made to the item, like renaming the item. 
  • Created By - The name of the user who created the folder or uploaded the file
  • Company - The company to which the user belongs. By default - your organization
  • Access - The permission level of the folder/file. By default - 'Private' - meaning the item can only be shared among team members belonging to your organization
  • Parent Folder - The parent folder of the item. Applies only to subfolders and files

Import Folder Template for the Project Drive

The project drive features efficient file organization by categorizing and structuring files based on context, category, type, and source. This is achieved through predefined folder trees tailored to the specific project's requirements, the company’s operational needs, or other unique parameters.

  • Multiple drive templates are maintained at the company-level master list. Each template contains a predefined folder tree structure with a specific combination of labeled blank folders.
  • The project manager can select a suitable template for implementation at the project level
  • The empty folders get automatically created in the project drive with the hierarchical tree structure as defined in the template
  • Users have the flexibility to add new folders or remove existing ones at any time to accommodate evolving project needs.

To import a folder template

  • Ensure that you are in the Project Drive screen in the drive module of the project management console. If not,
    • Open the project management console
    • Click the app launcher and select 'Project'
    • Select 'Drive' from the options on the left
    • Select 'Project' on the left
  • Click 'Select Template' at the top right

All folder templates present in the company-level master list and available for selection are shown as a list.

  • Select the template to import the folders from by clicking its serial number  
  • Click OK for the template to take effect

You can seamlessly select and import additional templates into the project at any time to expand or refine the folder structure. If a folder from the newly imported template shares the same label as an existing folder, the system automatically differentiates it by appending "(Copy)" to the folder name, ensuring clear identification and avoiding conflicts. 

Download the File list

  • Click the 'Download' button at the top-right to save a copy of the list in Excel format on your device or in the project repository for record-keeping and sharing. See Save List of Managed Items in Excel Format to learn more.
