Manage Employee Certifications

Linarc's 'Certificates' feature enables streamlined issuance and management of employee certifications for company-led training programs, including safety management, equipment handling, and specialized workshops.

  • Company administrators can efficiently upload issued certificates to the Linarc platform, ensuring secure, centralized record-keeping and easy access. 
  • Employees can view their certifications directly from the 'My Profile' page on both the web console and mobile app.
  • Managers can reference these certifications when assembling project teams and assigning crew members, ensuring each project is staffed with the right expertise.

This guide provides step-by-step instructions for company administrators to issue and upload employee certifications to the Linarc platform.

The Certificates Module

  • Ensure that you are on the 'Employees' module of the company admin console. 
  • Click 'Employees' on the top of your company admin console to return to the Employees module from any other module
  • Click 'Certificates' on the left

The screen shows the list of certifications issued to your employees, with thier details:

The 'Default View' shows all the standard columns. However, you can customize the table by removing the columns you don't want to see, by right-clicking on the column header and deselecting the columns, and re-arranging the columns in the order you want to view. See Customize Columns in List Views for more details. Following is the list of all possible columns: 

  • Company – The organization responsible for conducting the program and issuing the certificate. Typically,, your organization.
  • Certificate Type – The classification of the program for which the certificate was granted.
  • Issued By – The authority or individual who issued the certificate, typically the administrator responsible for uploading it.
  • Issued to User – The name of the employee who received the certificate.
  • Issued On – The date the certificate was officially awarded.
  • Expires On – The expiration date of the certificate, marking the end of its validity period.
  • Attachment – Click the paperclip icon to download a copy of the certificate.
  • Actions – Provides options to edit the certificate details or remove it from the system.

Upload Employee Certificates

Prequisite - Ensure that the PDF version of the issued certificate is generated and readily available for uploading to the employee’s record.


  • Open the 'Certificates' screen in the Employees module of your company admin console
  • Click 'Add Certificate' at the bottom

A new row gets added to the list to add details of the employee and the new certificate. The mandatory fields are highlighted in red:

Enter the Certificate Details:

  • Certificate Type – Choose the appropriate program classification from the drop-down menu.
  • Issued to User – Select the employee receiving the certificate from the drop-down list.
  • Issued On – Pick the issuance date using the calendar tool.
  • Expires On – Set the certificate’s expiration date using the calendar tool.
  • Click the 'Save' icon in the 'Actions' column to add the record.

Next Step: Upload the Certificate

Once the entry is saved, a paperclip icon will appear in the Attachment column. Click the icon and select the certificate file from your local device to complete the upload.

  • Repeat the process to add more certificates.

Save the Certificates List as an Excel File

  • Click the 'Download'button at the top-right to save a local copy of the list in Excel format for sharing and record-keeping.

  • By default, the filename is set to the current date, but you can customize it by entering a preferred name in the text box.
  • Click 'Direct Download' to save the file on your device.
