An album can be set viewable to the project participants selectively, by setting up the access restriction level to it.
Note: By default, the restriction level set for an album is inherited by all items within it, regardless of the individual restriction levels assigned to those items — even if an item’s restriction is stricter than the album’s. However, this inheritance applies only within the context of that specific album and does not affect the item’s visibility in other collections. For example, if an item has a stricter restriction level and isn’t shared with you, but the album containing it is shared, you’ll be able to view the item only within that album. The same item will remain hidden from you elsewhere, such as in the 'All' screen and other collections in the 'Feeds.'
- You can define and modify access restrictions only for the albums you created
- Access restrictions for albums created by others cannot be altered, even if you have access to those albums.
- You can reduce access limitations for an album by shifting it from a higher restriction level to a lower one, but you cannot tighten them. For example, a file can be changed from 'Restricted' to 'Public,' but not the other way round.
There are three types of access restrictions applied to albums:
- Public - Viewable by all users belonging to all companies participating in the project
- Restricted - Viewable only by users belonging to selected companies participating in the project
- Private - Viewable only by selected persons from your company who participate in the project. This includes, for example, fellow project managers, construction managers, project directors, etc.
To set access rights to an album
- Ensure that you are on the 'Albums' screen of the Feeds module. If not,
- Open the project management console
- Click the app launcher
and select 'Field'
- Select 'Albums' from the options on the left
- Right-click on the album and choose 'Share' from the options
- Choose the restriction level in the 'Set Visibility' pop-up:
There are three options:
- Public- The album and its contents are visible to all users from all participating organizations, with access permissions for feeds in their role.
- Choose 'Public' and click 'Select' to set this permission level.
- Restricted- You can choose the participating companies with which you want to share the album and its contents.
- Choose 'Restricted' or click on 'Restricted' to set this level
- Select the companies from the list of collaborating companies by clicking their serial numbers
- Use the 'Ctrl' or 'Shift' keys on your keyboard to select more than one company at a time
- Click 'Share.'
The album will be visible only to the project manager-level users from the selected companies.
- Private- You can choose the other employees of your company who are participating in the project to share the album and its contents.
- Choose 'Private' or click on 'Private'
The list shows the project team members of your company. If the person you want to add is not on the list, add the person to the project, then repeat the process. See Add Project Team Members for more guidance on this.
- Select persons by clicking their serial numbers
- Use the 'Ctrl' or 'Shift' keys on your keyboard to select more than one company at a time
- Click 'Share'
The album and its contents will be visible only to your internal project team.
