Guest Users - Overview

In construction management, crucial documents like Submittals, RFIs, Punch List items, and Change Orders must pass through complex response and approval workflows. While your internal team and registered partners can manage these directly within Linarc, you will often need input from external stakeholders—such as owners, specialty contractors, or third-party vendors—who do not have a Linarc account.

The Guest User feature bridges this gap. It allows you to add external parties to a project so they can actively participate in document workflows without needing a Linarc subscription.

Registered Collaborators vs. Guest Users

Understanding the difference between the two types of users ensures you assign the right permissions to the right stakeholders:

• Registered Stakeholders: Parties who are already Linarc subscribers. They are added to the project directory as regular collaborators, receive in-app notifications, and log in to the platform to access and respond to items.
• Guest Users (External Parties): Project stakeholders who are external to Linarc. They are added to a project strictly as guests, allowing you to include them in workflows through email communcation for their response, approval, or endorsement without requiring them to create an account.

How Guest Users Interact with Linarc

Guest users do not log in to or access the Linarc platform directly. Instead, they interact with your project entirely through their standard email inbox:

• In-Built Email Forwarding: Linarc does not automatically email guest users. Instead, the "ball-in-court" person (the team member currently responsible for the item) uses Linarc's built-in email engine to manually forward the item to the guest user. This email provides the guest with all the necessary details and context.
• Auto-Fetched Email Replies: To provide their input, the guest user simply replies to that email. Linarc automatically fetches their email reply and logs it seamlessly as their official response within the item's workflow and history.
