Configure T&M Limits for a Project - General Contractor

Linarc streamlines the approval process for Time & Materials (T&M) tickets by automating authorization based on the cost estimates provided by subcontractors at the time of ticket creation. Only those tickets with estimates that exceed predefined thresholds are routed to the general contractor for manual approval. These thresholds can be customized individually for each subcontractor.

There are two types of configurable limits:

  • Per-ticket limit – the maximum allowed amount for a single T&M ticket.
  • Project-level limit – the total cumulative amount allowed for all T&M tickets across the project.

This setup allows tickets that fall within the established estimate limits to proceed automatically, eliminating the need for additional review by the general contractor. However, approval is required under the following conditions:

  • The estimate exceeds the subcontractor’s per-ticket limit.
  • The total project allotment is nearing depletion, and the current ticket estimate surpasses the remaining balance.
  • The total project allotment has already been exhausted.

These thresholds can be configured by the general contractor’s project managers via the T&M setup screen.

To configure T & M ticket limits

  • Ensure you are on the T&M screen within the T&M module of the project. If not:
    • Open the project, click the App Launcher icon, and select Finance.
    • Click T&M at the top, then select T&M Setup from the left-hand menu.

The list displays all stakeholders involved in the project. For each subcontractor, configure the following fields:

  • Reviewer – Select the designated member of your project management team who will be responsible for reviewing, authorizing, and approving T&M tickets submitted by that subcontractor. Click within the cell and choose the appropriate team member from the drop-down menu.
  • Ticket Value – Enter the maximum permissible amount (in USD) for an individual T&M ticket from the subcontractor that can be automatically authorized without additional approval.
  • T&M Value – Specify the total allowable T&M amount (in USD) for the subcontractor. Once this threshold is exceeded, all further T&M work must receive prior authorization from the general contractor.
Tip: To streamline data entry, the values you enter in the first row will automatically populate all subsequent rows. You can modify the values individually for each subcontractor as needed.
