Shift setup

The hourly wages paid to employees vary for different shifts. In usual practice, an employee is paid as per the base wage rate for the regular shift. The hourly rates for odd shifts like the evening or night shifts are calculated by multiplying the base wage rate by the shift differential multiplication factor set for that shift.

To configure the shift settings

  • Login to your payroll console
  • Click 'Setup' on the top, then choose 'Setup' on the left.

  • Shift - The shift category
  • Shift Multiplier - Shift differential multiplication factor. The hourly rate for each employee working in that shift is computed by multiplying their base wage rate (CTC specified for the employee) by this value.  
  • Shift Hours - Hours allowed for the shift (Usually 8 hours for 'Regular' shift and vary for other shift types according to your company policies)
  • Effective From - The date from which the shift settings take effect. 
  • Effective To - The date till which the shift settings are valid. Auto-populates when there is an update on the shift category to the date one day earlier than the effective date of the revised settings.
  • Actions - Options to edit, save, and delete the shift details.

Use the 'Filter' on the top right to view only 'Active' or 'Inactive' shifts.

Note: 
You cannot edit the shift details if the effective end date has passed. You can still manage the same shift by creating a new entry with similar settings.

From this screen, you can perform the following actions:

Setup a new shift

The shift setup screen allows you to add new shifts and manage active shifts seamlessly. These shifts are available to apply to various projects managed by your company. 

To add a new shift or modify an existing shift category

  • Click the 'Manage Shift' button on the top right

  • Enter the following details
    • Shift Type - Select the category of the shift. 
    • Shift Multiplier - Enter the shift differential multiplication factor. The hourly rate for each employee working in that shift is computed by multiplying their base wage rate (CTC specified for the employee) by this value.  See the illustration below for more details.
    • Shift Hours - Enter the work hours allowed for that shift. (Typically 8 hours for regular shifts and vary for other shift types)
    • Effective Date - The date from which the shift settings take effect. If you are defining new values for an existing shift category, the settings for the existing one will be effective till the day before the effective date, and the new settings will take over from this date. 
  • Click 'Save'

Edit an existing shift

 You can change the number of work hours and the shift multiplier values for active shifts at any time. 

Note:
The Shift Settings cannot be edited for lapsed shift items. If you want to reinstate them, create a new shift row with similar values and edit them as required.

To edit shift details

  • Open the 'Shift Setup' screen
  • Click the 'Pencil' icon on the 'Actions' column of the shift
  • Double-click the required field and edit the details

  • Click the 'Save' icon on the actions column for the changes to take effect.

Delete an existing shift type

  • Open the 'Shift Setup' screen

  • Click the 'Delete' icon in the 'Actions' column of the shift row
  • Confirm your action. 

The shift has been successfully removed from the active shifts considered for the payroll.
