View Projects' Portfolio Budget Summary

The Project Portfolio Budget report provides a comprehensive view of the budgets set up for your projects and the effects of change orders on them. The report also provides shortcuts to the respective project's budget module.

Roles and Permissions: The Project Portfolio report is available only to users with 'View' permission for the portfolio reports enabled in their role.

To view the portfolio budget report

  • Ensure that you are in the portfolio console.
  • To return to the portfolio console from any other part of the platform:
    • Click the App Launcher buttonin the top-right corner and select "Portfolio" from the dropdown.
  • Click 'Budget' on the top, then select 'Budget' on the left

The 'Default View' shows all the standard columns. However, you have the flexibility to customize the table by removing unwanted columns and re-arranging the columns in the order you want to view. Additionally, you can save your customizations as a personalized view to quickly access your preferred table layout in the future. See Customize Columns in List Views for more details. Following is the list of all possible columns:

  • Project Name - Displays the project name. Click the name to open the project's Budget module.
  • Total Budget Items - The total count of line items in the current budget of the project. This includes original line items from the project's baseline budget and line items added from the Change Orders. For change orders that involve work cost estimates from multiple contractors and GC management fees, each contractor's work estimate is counted as a separate line item.
  • Budget Type- Provides a detailed breakdown of the current budget's line items.
    • Original Bid - The number of line items in the original baseline budget.
    • Change Order Bid- The count of line items added to the budget via recorded change orders. Please note that if a change order includes approved work cost estimates from multiple subcontractors, each estimate is added as an individual line item.
    • Change Order Fee - The line items added to the budget that represent the general contractor management fees associated with change orders.
    • Calculation Type- Specifies how the total amount is calculated based on different cost types within a line item. The possible values are:
      • Automatic
      •  Manual
  • Sub Cost Total - The aggregate sum of amounts allocated to the external subcontractor cost type across all budget line items.
  • Total Profit - The aggregate sum of profit amounts pertaining to the general contractor calculated from all budget line items.
Search and filter options:
  • Use the 'Search' box located at the top left to find any project using any value from the table as search criteria 
  • Right-click the column header and customize the display and order of the columns as you wish 
  • The options at the top right allow you to filter the entries, and manage personalized and customized views of the table. Use the links below to learn more about these:

View Groups and Subtotals

  • You can get totals and subtotals of numerical data for any selected set of records by grouping and applying nested grouping. Use the  icon at the top right to organize the data by column headers.
  • The system automatically aggregates relevant numerical values, giving a structured breakdown and a clear view of the grand total distribution. See Group and Organize Items in a List View for more details
