View Global Submittal Statistics

The Project Portfolio Submittals report shows a statistical overview of the number of submittals pertaining to the projects you manage. The table intuitively breaks down the items based on their statuses and criticality. The report also provides shortcuts to the 'Submittal' module of the respective projects.

  • General Contractors - Have access to the statistics of all submittals across the projects they manage.
  • Subcontractors and other stakeholders - Can view statistics only for Submittals in which they are involved as a submitter, creator, reviewer, or approver, across all projects they are working on.
Roles and Permissions: The Project Portfolio report is available only to users with 'View' permission for the portfolio reports enabled in their role.

To view the portfolio Submittal report

  • Ensure that you are in the portfolio console.
  • To return to the portfolio console from any other part of the platform:
    • Click the App Launcher buttonin the top-right corner and select "Portfolio" from the dropdown.
  • Click 'Documents' on the top, then select 'Submittals' on the left

The 'Default View' shows all the standard columns. However, you have the flexibility to customize the table by removing unwanted columns, and re-arranging the columns in the order you want to view. Additionally, you can save your customizations as a personalized view to quickly access your preferred table layout in the future. See Customize Columns in List Views for more details. Following is the list of all possible columns:

  • Project - The name of the project. Click the name to open the 'Submittals' module of the respective project. See View Submittals for more details.
  • Total Submittal Items - The grand total number of submittals pertaining to the project 
  • Overdue - The number of submittals whose due dates have past
  • Status
    • Open - Submittals that have cleared the initial workflow step and are awaiting the first response from the responsible party. This also includes the items assigned to you and awaiting your response. 
    • Drafts - Submittals created but not yet routed for review.
    • In Progress - Submittals that are pending action from the responsible party for submission, review, or approval. This also includes the items assigned to you and awaiting your response. 
    • Submitted - Submittals formally presented by the submitter and awaiting review and approval.
    • Approved - Submittals that have received approval and are awaiting signature or final closure.
    • Revised - Submittals that have been sent back for revisions by the reviewer or approver and need to be resubmitted.
    • Rejected - Submittals that have been declined by the approver.
    • Closed - Submittals that have completed the review and approval process and are published.
  • Priority - Shows the numbers of submittals with different criticality levels - 'High,' 'Medium,' and 'Low.'

Download as Excel Sheet

  • Click the 'Download'button at the top-right to save a local copy of the list in Excel format for sharing and record-keeping.

  • By default, the filename is set to the current date, but you can customize it by entering a preferred name in the text box.
  • Click 'Direct Download' to save the file on your device.
