Generate and Download PDF Versions of Documents

Document items such as RFIs, Submittals, Change Orders, T&M tickets, and others that follow a response or approval workflow can be downloaded as PDF files at any stage. The generated PDF reflects all details available up to the current step in the workflow.

  • You can choose to download the PDF locally to your device or upload it directly to the Linarc file repository for secure storage and easy sharing.
  • This feature is especially useful for sharing in-progress items with stakeholders outside of Linarc who may need to review or provide input.
  • The process is consistent across all document types, including RFIs, Submittals, Change Orders, T&M Tickets, and Checklists. For the purposes of this article, the steps will be demonstrated using an RFI as an example.

To generate and download a PDF file of an item at any stage

  • Click the   icon on the top right

The 'Downloads' pane displays a list of any previously generated PDF files for the document item, if any, providing quick access to past versions for reference or review. 

Follow the steps below:

Step 1: Configure the report sections (Optional)

By default, any newly generated PDF includes all sections of the document item. However, you can customize the PDF by selecting specific sections to include. This allows you to highlight only the relevant information for sharing while excluding any sensitive content, if applicable.

Note: The 'Configure PDF' option is available only in relevant modules.
  • Click 'Configure PDF' at the top-right of the pane

  • Select/deselect the sections depending on what you want to include in the final PDF
Note: Mandatory sections cannot be removed so their checkboxes are disabled.

Step 2: Initiate the PDF generation process

  • Click 'Generate PDF'

The system compiles the PDF version of the document item, including the selected sections. The process takes around 30 seconds. You can view/download the PDF from the same pane.

  • The PDF features a table of contents with clickable links to respective sections.

Step 3: Download the generated PDF file to your device or Linarc Drive

  • Reopen the 'Downloads' pane by clicking the 'PDF' button.

The recently created PDF file is shown at the top of the list, if there are multiple items.

  • Click  to open the file in a new browser tab.
  • Click  to download it.

  • File Name - The filename is automatically set to the name of the document item. Enter your preferred name in the text box to override the default.
  • Click the 'Direct Download' button to save the file directly to your device.

You can also save the file on Linarc's cloud-based project file repository. This allows you to share it with other team members. The folder's access permissions determine which team members can view or edit the file.

  • Company Drive - Share with the project team members from your organization:
    • Select the folder that corresponds to your company name
    • Navigate to the desired folder and click 'Save.'
  • Project Drive - Share with the construction team members from any stakeholder organization: 
    • Select 'Project Drive'.
    • Navigate to the appropriate folder and click 'Save.'
