Import RFIs

As part of migrating your project data from external systems, such as other construction, project, or document management platforms, you can import document items like RFIs, submittals, and more into Linarc. This ensures centralized management of all project-related information, including both historical data and items created moving forward, resulting in greater efficiency and consistency.

This page outlines the steps to import RFIs from external systems into Linarc.

  • Create a new entry for RFIs that were managed and completed in an external system.
  • Upload the completed RFI as a PDF to seamlessly track and manage it within the platform.
  • Automatically archive the uploaded PDF in the project’s file storage, organized by category for easy access and recordkeeping.
Prequisite: Keep the PDF version of the RFIs to be added to your project in Linarc ready.

To import an RFI

  • Ensure that you are in the 'Completed' screen of the RFI module. If not,
    • Open the project management console
    • Click the app launcher icon in the top-right and select 'Documents'
    • Click 'RFI' on the top, then choose 'Completed' on the left

  • Click the '+Import' button on the top

Enter the details:

  • RFI Title - Enter a label for the RFI, shortly describing its purpose. (Max. 150 characters)
  • Type- The purpose of the RFI. Whether the RFI is for clarification, confirmation, missing details in the specs/plans, etc.
    • Choose the type from the drop-down
  • Sequence- Specify the category of the RFI. RFI categories are defined as a master list at your company level. The RFI will be sequence-numbered in a series, depending upon the category. This number lets you quickly identify, filter/review RFIs of a particular type.
    • Choose the category from the drop-down. If you do not see the category you want to choose, contact your administrator.
  • Attachment - Click the paperclip icon and upload the PDF version of the RFI
  • Requestor- Select the stakeholder who raised the RFI. By default, the requestor field is auto-populated with your company name. 
    • Use the paperclip and upload any attachments that support the question. This is optional.
  • Responder - Select the stakeholder who officially answered the RFI.
    • Use the paperclip and upload any attachments that support the response. This is optional.
  • Click 'Submit' to save your entry.

The imported RFI will appear in the RFI Boards screen and the 'Completed' screen, with a tag [IMPORTED] and can be accessed, searched, and managed like any native RFI in Linarc.

  • Click the RFI card to open and view the imported RFI, just like any RFI created directly within Linarc.

You can also download the completed RFI as a PDF in Linarc’s standardized format. 

  • Click the PDF button at the top to download the PDF of the RFI. See Generate and Download PDF Versions of Documents to learn more.
  • The uploaded PDF will be auto-archived in the appropriate folder in the project’s cloud-based file storage. 
  • To access the auto-saved RFI, click the App Launcher, then navigate to 'Project' > 'Drive' > 'System Drive' > 'RFI.'
