Create a Custom Field

Administrators with appropriate permissions can add custom fields to the company master list, for use in different project management modules. 

The created custom fields are available for selection at the project level, enabling project managers to apply them to specific forms or tables as needed. This ensures that custom fields are used only in the projects where they are relevant, providing targeted flexibility and avoiding unnecessary clutter. 

  • Once a new field is added to a project, it will take effect immediately and will appear in the relevant forms for all items created from that point onward. 
  • Fields do not apply retroactively to the items that were created before they were added to the system. 

To create a custom field

  • Login to your company admin console
  • Click 'Configuration' on the top, then click 'Custom Fields' on the left
  • Select 'All' on the left to view the list of all custom fields in the company's master list
  • Alternatively, select a module name from the left to view only the custom fields pertinent to that module
  • Click 'Add Row' at the bottom

A new row gets added for your custom field entry. 

  • Enter the details in the respective cells of the row. Mandatory fields are indicated with a red triangle:

  • Label Name - Enter the label that will appear for the custom field on the details page or table within the respective module.
  • Description - Provide a brief explanation of the custom field's purpose or intended use. 
  • Module- Specify the managed item to which the custom field applies.  
    • Click the cell and select the module from the drop-down menu.
    • This cell is pre-populated, if you selected a module from the left pane earlier. You will still be able to select a different module.  
  • Field Type: Select the data format required for the custom field. After selecting and saving the field type, you can configure whether the field is mandatory and define constraints for the values. The available field types are:
  •  Is required - Indicates whether the whether the field is mandatory.
  • Click the 'Save' icon in the row for the new field to take effect.
  • Configure the data entry restrictions for the field after saving it in the table.
  • Repeat the process to add more custom fields that apply to forms in various modules.

Short Text Field – Set Up Rules and Limitations

  • Click the serial number of the row to open the details pane on the right
  • Ensure that the 'Rules' tab is open
  • Configure the limitations:
    • Required: Specify whether the field is mandatory or optional.
    • Unique Values Only: Ensure the field does not accept duplicate values across different items.
    • Set Min Character Limit and Max Character Limit: Enable these options to define the minimum and maximum number of characters allowed. Enter the respective values in the text fields that appear after enabling the checkboxes.
    • Exact Character Limit: Select this option if the input must have a specific number of characters. Enter the required number in the text field provided.
    • Allow Special Characters: Permit the use of special characters such as !, @, #, $, &, and more in the field.
    • Click 'Save' for your configuration to take effect.

Long Text Field – Set Up Rules and Limitations

There are no character limits or special character restrictions for the 'Long Text' field type.

  • Click the serial number of the row to open the details pane on the right
  • Ensure that the 'Rules' tab is open

  • Required: Specify whether the field is mandatory or optional.
  • Click 'Save' for your configuration to take effect.

Number Field – Set Up Limitations

  • Click the serial number of the row to open the details pane on the right
  • Ensure that the 'Rules' tab is open

Configure the limitations:

  • Required: Indicate whether the field is mandatory or optional.
  • Set Min Limit and Max Limit: Enable these options to specify the minimum and maximum of the numerical values allowed. Enter the respective values in the text fields that appear after enabling the checkboxes.
  • Allow Decimal: Enable this option to permit fractional values with a decimal point.
  • Set Decimal Places: Use this option to define the maximum number of digits allowed after the decimal point. Enter the desired value in the provided text field. If the input exceeds this limit, the last digit will be rounded off.
  • Allow Negative: Allow the input of negative values.
  • Click Save to apply your configuration settings.

Date Field – Set Up Restrictions

  • Click the serial number of the row to open the details pane on the right
  • Ensure that the 'Rules' tab is open

Configure the limitations:

  • Required: Specify whether the field is mandatory or optional.
  • Exclude Holidays: Restrict users to entering only site working days, excluding holidays as configured in the project calendar.
  • Take Current Date: Automatically populate the field with the date when the item is added to the project. Users can modify this value if needed.
  • Restrict Date Before: Enable this option to set a maximum allowable date. Users can only enter dates that fall before the specified threshold. Enter the threshold date in the field that appears after enabling the checkbox.
  • Restrict Date After: Enable this option to set a minimum allowable date. Users can only enter dates that fall after the specified threshold. Enter the threshold date in the field that appears after enabling the checkbox.
  • Date Format: Select the desired format for date input from the dropdown menu.
  • Click 'Save' to apply your configuration settings.
  • Click the serial number of the row to open the details pane on the right
  • Ensure that the 'Rules' tab is open

Configure the limitations:

  • Required: Specify whether the field is mandatory or optional.

A couple of two blank fields will appear under 'Options' to start with.

  • Enter the first two options that should appear in the drop-down in the respective field
  • Click 'Add Option' at the bottom of the table and add the next option 
  • Repeat the process to add more choices
  • Use the trashcan icon to remove the items added inadvertently
  • Click 'Save' 

Your settings for the new field are saved.
