    Review a submittal


      Article Summary

      The requestor or the party assigned as the reviewer for a submittal receives notifications whenever a submittal is assigned to them. You receive a submittal for a review in the following scenarios:

      • A subcontractor uploads a submittal. You can conduct the initial review and then forward the submittal to another reviewer or the architect/engineer.
      • The original assignee has assigned you the submittal for additional review.
      • An additional reviewer has submitted their review comments. You can further examine the response and then move the submittal to the next step in the workflow, typically sending it to the architect/engineer review.
      • An architect/engineer has reviewed and provided their final response. Depending on their review, you can either approve/reject the submittal or initiate a revision.
      • A subcontractor uploads a revised submittal. You can review the response and pass it on to the next reviewer or architect/engineer according to the workflow.

      Once the submittal receives a response and is assigned to you for review, you can take the following actions based on your role and the project type after your initial review:

      A submittal can be assigned to other staff any number of times within your organization for review. The workflow automatically gets updated whenever the submittal is routed for review. 

      To review a submittal

      • Login to your project management console
      • Click the notification to open the submittal
      • Alternatively:
        • Click 'Submittals' on the top.
        • Select 'Boards from the options on the left.

      The ' All Submittals' screen shows the project submittals under different stages. The items that are awaiting your response are indicated with the tag 'You' in blue.

      • Click on a submittal to open it.

      The submittal details screen has two tabs:

      Details - Shows the general details, descriptions, and attachments given by the requestor.

      Responses - Shows the responses given by the responsible party, attachments, and revisions done in chronological order. 

      • Click the 'Responses' tab.

      You can review the submittal response description, photos, files, or plan sheet attachments and perform the following actions:

      Route the submittal to the next step

      • Ensure you are in the response tab

      • Click the Route button on the top right to forward the submittal to the next step in the workflow.
      • Click the 'Workflow' tab to see the current stage and progress of the submittal.

      Forward a submittal for review

      • Ensure you are in the response tab

      • Click the Forward for Reviewbutton that appears on the top right to forward the submittal to your subordinate staff.

      • Junior Engineer - The drop-down shows the list of employees of your organization already added to the project. Select the person to whom you want to assign the submittal.
      • Response Date - Select the due date within which you want the responder to submit the submittal. This date should be within the timeframe assigned to you. 
      • Click the 'Submit' button. The workflow is updated automatically once added.
      • Click the Route button to forward the submittal for an additional review to the allotted staff.

      Request a revision for the submittal

      The approver can send back the submittal for a revision if it is not meeting the requirements of the submittal request. 

      • Click the 'Create Revision' button that appears on the top right to send the submittal back for a revision.

      The create revision pop up opens.

      • Enter the reason for the revision.

      The workflow gets updated with the review and response for the revision automatically. The responder gets notified of the revision request.

      • Click the Route button to forward the submittal.
      • Click 'View Workflow' to see the current stage and progress of the submittal.
