    Add associates to your company directory


      Article Summary

      The company management console lets you add your subcontractors and vendors in two ways:

      Once added, Linarc sends invitations to your vendors. Your vendors can view the invitations on their company admin panel (Click ‘Vendors’ > ‘Received’). After they accept the invitation, they are added as your active vendors. You can view the list of active vendors in the company management panel (click ‘Vendors’ > ‘Active’).

      These vendors are now available to invite as collaborators to your projects. Once they accept the invitation, they can access the project management portal for the project you share. You can assign jobs, raise requests for bids, accept bids, exchange plans and other documents, RFI’s, change orders, etc., with them and track their work progress. 

      Manually add vendors

      • Log in to the company management console
      • Click ‘Vendors’ > ‘Draft’ on the left
      • Click the ‘+’ button on the top right

      The list of available companies is shown:

      • Use the search box at the top right to filter companies based on their company name, business type, category, city, and zip code.
      • Select the companies you want to add:

      • Click ‘Invite’

      The vendors are moved to the ‘Invited’ tab under ‘Vendors’ on the left. An invite is sent to the vendor. Once they accept the invitation, they will be added as your active vendors and available to add as collaborators in your projects.

      • Repeat the process to add more subcontractors and vendor companies.

      Bulk import vendors

      The company management console allows you to add several vendors at once by uploading a CSV or Excel file containing the list of vendors. This is useful to enroll organizations with which you do business regularly. 

      The process involves two steps:

      Step 1 - Create a list of subcontractor/vendor companies

      Prerequisite:

      Ensure that the vendors you plan to add to the list have already associated them with Linarc. 

      Requirements of the CSV or the Excel file

      There are six mandatory fields for each company entry in the list:

        • Company Name – The label of the company as registered with Linarc
        • Business Type - The company's line of business, like roofing, electrical, plumbing, landscaping, etc.
        • Contact Person - The name of the representative of the vendor company
        • Title - The position of the contact person in the vendor company
        • Phone Number - The contact number of the representative, with the  country code
        • Email Address - The email address of the representative.
      • Each line in the file should contain one company entry
      • The file should contain a header row with the following values ‘CompanyName', businessType', 'contactPerson', 'title', 'phoneNumber', and 'emailAddress'.
      •  Each vendor entry should contain the values for the fields in the header.

      Create a CSV or Excel file with the list of subcontractors/vendors

      • Log in to your company management console
      • Click 'Vendors' > 'Draft' on the left
      • Click the 'Upload' button on the top right

      • Click 'Download file format' to download a blank Excel file containing the required field headers.

      • Enter the details of the companies one by one in each row.
      Tip:

      You can get these details about a company from the list of companies associated with Linarc.  Ensure that the company and contact details you enter here are accurate.
      Click ‘Vendors’ > ‘Draft’ on the left, then click the ‘+’ button at the top right to view the list.

      Step 2 - Upload the list to the management console

      • Log in to the company management console
      • Click ‘Vendors’ > ‘Draft’ on the left
      • Click the ‘Upload’ button on the top right
      • Drag and drop the CSV or Excel file to the ‘Upload List’ box

      The vendors are added to the draft list.

      • Click the ‘Tick’ icon at the top right.
      • Your entries are validated and added for sending invitations if there are no errors in them.
      • If there are any errors, like duplicate phone numbers, email addresses or the company has not enrolled itself to Linarc, the respective error message is shown:

      You can edit the details to correct the errors and click the tick button again to upload your list.

      The vendors are moved to the ‘Invited’ tab under ‘Vendors’ on the left. An invite is sent to each vendor. Once they accept the invitation, they will be added as your active vendor and available to add as collaborators in your projects.

      Once added, you can invite the vendor to collaborate on a project, exchange RFIs, propose/accept bids, and share tasks.

      • Click ‘Vendors’ > ‘Active’ to view the list of your associates
      • Select an associate to view their details.
