    Submit a submittal


      Article Summary

      The responsible contractor or vendor gets a notification whenever a submittal is assigned to them. You receive a submittal request in the following scenarios.

      • Your upstream side contractor has assigned the submittal to you for a response.
      • The original assignee has reassigned the submittal to you for a response/review.
      • The reviewer/approver has sent back the submittal for revision.

      When a submittal is assigned, you can perform the following actions:

      A submittal can be assigned to other staff within your organization for answers or review any number of times. The workflow automatically gets updated whenever the submittal is routed for a review or response. In any case, the default submitter performs the final review and submits it to the requestor.

      Add a response to a submittal

      • Click the notification to open the submittal entry
      • Alternatively:
        • Open the project management console of the project
        • Click 'Submittals' on the top
        • Select 'Boards' from the options on the left

      The ' All Submittals' screen shows the project submittals under different stages. The 'In-Progress' column shows the submittal items that are yet to be answered. The items that are awaiting your response are indicated with the tag 'You' in blue.

      • Click on a submittal card to open it.
      • Review the details, including the description and the due date, from the 'Details' tab
      • Click the 'Responses' tab.

      • Click inside the description box and add your response.
      • Click on the top right to add attachments like plan drawing with markups, photos, images, and/or other document files in the description.

      You can upload items in two ways:

      Attach plan drawings with/without markups

      The 'Select From Plans' option lets you create markups on a  plan drawing and upload it as a submittal item. 

      • Choose ' Select From Plans' in the 'Attach Files' dialog.

      The 'Plan Sheets' pane opens with the plan sheets added to the project.

      • Select the plan you want to use.
      • Create markups if required to explain the requirement in more detail. See Markups for guidance on creating different types of markups on the plan drawing.
      • Click the 'Publish' on the top right, 
      • Enter a name for your markup and click 'Share' to affix the plan drawing/markup to the submittal entry.
      • Repeat the process to add more plan markups.

      Attach photos or documents

      The 'Browse' option lets you upload PDF or text documents like shop drawings, cut sheets, process/specification/installation documents, brochures, reports, etc., image files like photos with/without markup, and more as your submittal items.

      • Choose 'Browse'
      • Browse to the required image or document file from your local storage and click 'Open.'
      • Repeat the process to add more images or documents.

      The plan(s)/photos/documents are added to the submittal.

      • Click the 'Save' button at the top right to save your response.
      • Once completed, click the Route Route button that appears on the top right to forward the submittal for review and approval.

      The submittal moves to the next step in the workflow. 

      Assign submittal to other staff

      You can assign a submittal to your team members for the following: 

      • Forward the request to your junior or a person with special knowledge to add the submittal response
      • You add your response and forward it for review to your senior
      Prerequisite:
      The person you want to assign the submittal to should have been added to the project as your fellow project manager. See Manage Project Team Members if you need guidance on adding a new member to the project.

      A submittal can be routed any number of times to team members within your organization for answers to questions relevant to them. The submittal returns to you every time for further action. The workflow automatically updates accordingly. Once you are happy, you can route it to the next step, typically for submission to the requestor.

      To assign the submittal

      • Click the Forward for Reviewbutton that appears on the top right to forward the submittal to your subordinate staff.

      • Junior Engineer - The drop-down shows the list of employees of your organization already added to the project. Select the person to whom you want to assign the submittal.
      • Response Date - Select a due date for the responder to submit the submittal. This date should be within the timeframe assigned to you.
      • Click 'Submit'

      The submittal is assigned to the selected person. Linarc sends a notification to the person. The assignee can open the submittal and respond to it, as explained above. 

      Submit a revised response

      Whenever a submittal response does not meet the requirement of the submittal request, it is sent back to you for a revised response. You receive a submittal for revision when,

      • The contractor or the approver of the submittal requests for revision
      • The contractor requests revision on the advice of an additional reviewer
      • The reviewer, typically the architect/engineer, requests a revision

      You can add revisions to the submittal yourself or assign it to other staff in your company, as mentioned above.

      To add a revised response

      • Click on a submittal card to open it. The submittal awaiting revision will have a ' Revise and Resubmit' tag on the top of the card. The items that are awaiting your response are indicated with the tag 'You' in blue 
      • Click the 'Responses' tab.

      You can see the reason why the submittal has been reverted and other details to add to your revised response in the revision note.

      • Add your new response or update your existing response in the description box.
      • Add new attachments supporting your revised answer. You can attach new plan drawings, photos, and documents if necessary. 
      • Click Save.

      You can view your previous response by clicking the history Route button. 

      • Click the Route button that appears on the top right to forward the submittal for further review and approval.
