Approve a change order on behalf of the owner

      Article Summary

There are two ways to approve and close the change order.

Approval with endorsements - DocuSign Enabled - If DocuSign is enabled for your account, you can circulate the change order to the stakeholders to digitally sign it as a mark of their acceptance and approval. You can view the signature status on the same screen under the 'Signature' tab. See Request Signatures for more details. Once all stakeholders complete the signing process, you can approve the change order on behalf of the owner.

Approval without signatures - Once the final cost is arrived, get consent from the owner through any out-of-band communication method. You can approve or reject the change order on behalf of the owner from the same screen.

      To approve a change order

      • Open the project management console.
      • Click 'Change Orders' on the top
      • Select 'Boards' from the options on the left
      • Open the change order to approve/reject
      • Click 'Owner Approve' to approve and close the change order on behalf of the owner
      • Click 'Owner Reject' if the owner has declined the change order

The CO gets closed and moves to the 'Final Approval' column. You can also download a PDF version of the closed change order from the Boards interface:

      • Open the change order from the  'Final Approval' column
      • Click the Download Pdf link in the title bar

The approved CO is now available to add to the master schedule of the project. Once added, the values like schedule and cost impacts, the subcontractor to whom the work is assigned, etc., are automatically imported to the schedule item from the change order. See Add a change order to the schedule for guidance on this.

The approved estimate adds to the project budget in the budget and controls interface.

      • Click 'Project' > 'Budget & Controls' to verify the estimate in the budget.
      Tip:
You can initiate or take part in a conversation to chat with the team members and the participants of the change order at any stage. Click the button on the top right. See Chat and collaborate on a CO for more guidance
